Why garages and workshops in Tanzania lose money they never see
The job card is the whole business
A workshop that cannot say which technician worked how long on which vehicle cannot price labour, cannot spot rework, and cannot tell a profitable job from a loss. Parts margin is visible and labour margin is not, so labour is where the leakage lives. Every vehicle in the bay needs a job card carrying the registration and chassis number, the reported fault, the diagnosis, parts issued, labour hours booked per technician, and the customer's authorisation for any extra work found mid-job.
Parts and labour are taxed the same, quoted differently
Both parts and labour go on the TRA VFD receipt, but they behave differently commercially: parts carry a landed cost you can compute, labour carries a capacity cost you have to estimate. Quoting a flat "repair" figure hides which one you lost on. Separate the two on the estimate and on the invoice โ Tawala POS issues the compliant fiscal receipt with parts and labour as distinct lines.
Imported spares cost more than the invoice says
Most fast-moving spares reach Tanzanian workshops through Dar es Salaam port. The real cost is CIF plus duty plus 18% VAT plus the 1.5% Railways Development Levy plus clearing and inland transport. Pricing a filter or a brake pad off the supplier invoice alone means selling the slow-moving lines below cost. Work out the true figure with the import duty calculator and hold it as the item cost in Tawala inventory.
Insurance work pays late and only if the paperwork is right
Accident repairs authorised by an insurer's assessor are paid against an approved estimate, not against what you actually did. Work beyond the approved scope is unpaid work unless it was re-approved in writing first, and claims sit in receivables for weeks. Insurer-funded jobs need their own approval state, their own aging, and their own reconciliation โ track them as a distinct pipeline in Tawala CRM and age them in Tawala Finance.
Counterfeit and mixed-batch spares are a warranty problem
Counterfeit filters, pads and electrical parts circulate widely. When a part fails, the question is which supplier and which batch it came from โ and a workshop that cannot answer that pays for the rework itself. Receive spares against supplier and batch, and link the batch to the job card so a failure traces back in one step.
Service history is why customers come back
A workshop that can tell a fleet owner what was done to that vehicle eighteen months ago, at what mileage, with which parts, keeps that fleet. One that cannot is competing on price alone. Vehicle-level history also turns into scheduled service reminders over SMS and WhatsApp โ the cheapest repeat revenue a garage has. For fleet-owning customers, pair it with Tawala Fleet management.
Statutory cost per technician
Workshop labour rates only work if they are built on the fully loaded cost of a technician โ gross pay plus NSSF, NHIF, SDL and WCF, divided by realistically billable hours, not clocked hours. Get the employer figure from the full payroll calculator and run the payroll itself in Tawala HR & Payroll.
