How to choose where to start

Thirty-eight modules is a menu, not a plan. Almost nobody should switch on everything at once, and the businesses that get value quickest are the ones that pick the single process that is currently costing them the most and fix that first. Everything else can wait a quarter.

A practical way to decide: ask which of these five sentences you have said out loud in the last month.

  • "I don't know what we actually sold this week." Start with Point of Sale if you sell over a counter, or CRM & Sales if you sell by quotation and follow-up.

The four ways this section is organised

The same software is presented four different ways because buyers arrive with four different questions. None of them is a different product.

By industry is for buyers who want to know that someone has thought about their sector's specifics — a hotel needs room-night pricing, a pharmacy needs batch and expiry tracking, a garage needs job cards. By use case is for buyers who already know the function they need to fix. By role is for the person who will actually live in the system daily — an HR officer, a store keeper, a field sales rep. Productivity tools are the supporting cast: shared mailbox, file sharing, knowledge base, QR codes.

If you are buying for a sector rather than a function, the industries section goes deeper on the operating reality of each: retail and wholesale, construction, transport and logistics, hospitality, pharmacies, schools, agribusiness and more.

Why modules on one platform beats four good separate tools

The argument for an integrated suite is not that each module beats the best standalone product at its own game. It usually does not. The argument is that the expensive work in a small business is not doing the task — it is re-entering the same fact in a second place, and then arguing about which of the two numbers is right.

Concretely: when a sale is rung up in POS, stock moves in Inventory, the fiscal receipt goes to TRA, the revenue posts to the ledger, and the customer's balance updates in CRM — from one action. When an employee is added in HRM, they exist as a POS operator with permissions and as a cost line in the job they work on. When a purchase order is received, the supplier balance, the stock valuation and the payables ledger all move together. None of that is impressive individually. Collectively it is the difference between a bookkeeper who closes the month in two days and one who closes it in two weeks.

The trade-off is real and worth stating: an integrated suite means your data lives with one vendor, and switching later is a bigger job than swapping one app. That is a reason to check the export path and the data-processing terms before you sign, not a reason to run four disconnected systems. What every module has in common

  • Tanzanian shilling first. Amounts, rounding and reports are in TZS. Foreign-currency transactions are handled, but the reporting currency is the one you file in.
  • Mobile money as a first-class payment method, not a bolt-on — M-Pesa, Tigo Pesa and Airtel Money alongside bank transfer and card.
  • TRA VFD fiscalisation available from the Biashara tier upwards, so fiscal receipts are transmitted as sales happen rather than reconstructed at closing.
  • Statutory payroll built in — PAYE, NSSF at 10% employee and 10% employer, NHIF, SDL at 3.5% of gross payroll and WCF at 0.5%.
  • Works on a phone. The Android app holds records locally and syncs when the connection returns — which matters far more in practice than any feature list.
  • English and Swahili support, from a team based in Dar es Salaam.

What it costs, and what a rollout actually involves

Plans are priced per month in TZS and scale with users and modules. The Mfuko tier is TZS 25,000 per month for one user and covers CRM, customers, estimates and invoices, expenses and the mobile app. The Biashara tier is TZS 65,000 per month for five users and is where TRA VFD and inventory unlock. Higher tiers add HR and payroll, manufacturing, projects, fleet and advanced reporting, with custom pricing above 50 users. A realistic first rollout for a small business is measured in days, not months, and follows roughly this shape: prepare your data (product list with cost and selling price, opening stock counts, outstanding customer and supplier balances, staff list with roles), configure the business (TIN, tax settings, payment methods, VFD certificate if applicable), train the two or three people who will use it daily, run parallel with your existing method for a week, then cut over. The part people underestimate is data preparation. Software configuration takes an afternoon; producing a clean product list with accurate cost prices and a truthful opening stock count is the real work, and it is work you should do regardless of which vendor you choose.
