Renting in Tanzania does not work like renting anywhere else
Property software written for markets with monthly direct debits and twelve-month standing orders breaks immediately here, because the fundamental rhythm is different. Tanzanian residential and commercial tenancies are commonly paid six or twelve months in advance, in a lump sum, often in cash or mobile money, sometimes in US dollars for expatriate and commercial lettings and in shillings for everything else.
That single difference cascades. Rent received is not revenue — it is deferred income that must be recognised across the months it covers, or the landlord's accounts show a spectacular January and eleven poor months. Arrears are not a monthly nag but a cliff that arrives on one date. And the critical management question stops being "who has not paid this month" and becomes "which tenancies expire in the next ninety days, and has anyone started the renewal conversation."

Leases, renewals and the ninety-day window
A lease record carries the unit, the tenant, the start and end dates, the rent and the period it covers, the payment schedule, the deposit held, and what the tenant is separately responsible for — water, electricity, service charge, security, refuse. From that, two things fall out automatically that landlords otherwise track in their heads: an income recognition schedule, and a renewal pipeline.
The renewal pipeline is worth more than it sounds. A vacancy costs a full period of rent and usually some agent commission on top, so a lease that lapses because nobody started the conversation in month ten is one of the most expensive routine mistakes in property management. Working the expiry list ninety days out is the single highest-return habit in the business, and it only takes a reliable list.
Money in: mobile money, cash and bank
Tenants pay how tenants pay — M-Pesa, Tigo Pesa, Airtel Money, bank transfer, or cash to a caretaker. The reconciliation problem is that a mobile money receipt arrives with a phone number and a name that may be the tenant's brother, and matching it to a unit is manual work that gets done late or not at all.
The practical control is to give every unit a stable payment reference and train tenants to use it, then match on the reference rather than the name. Payments recorded against the lease produce a tenant statement that can be shared on demand, which removes most rent disputes before they start. Where a caretaker collects cash, treat it exactly as a till: declared collections, receipted on the spot, banked and reconciled — a caretaker with an undocumented cash float is an accident scheduled for later.
Money out: owner statements and the agency model
If you manage property for other owners, most of your reputational risk sits in one document: the owner statement. It needs to show gross rent collected for the period, management commission deducted, repairs and maintenance itemised with evidence, any statutory amounts withheld, and the net remitted with the date and method. Owners who receive that consistently stay for years. Owners who receive a WhatsApp message saying "I have sent 2.4m" change agents.
Two amounts commonly get missed. Rental income can be subject to withholding by the payer in certain arrangements, and where that applies the certificate must be retained and passed to the owner — our free withholding tax calculator explains the mechanism. Maintenance, deposits and disputes
Maintenance is where margin quietly disappears in managed portfolios, because small jobs are approved verbally and invoiced later at a number nobody remembers agreeing. The discipline is a request, a quote, an approval and a completion record with a photograph, attached to the unit rather than to the month. That history is also what settles the deposit at move-out: a documented inventory at move-in and a documented condition at move-out converts an argument into a calculation.
Deposits are held money, not income. They belong on the balance sheet as a liability until they are released or applied, and treating them as cash available to spend is one of the more common ways small agencies get into trouble.
Sales, transfers and the numbers before you buy
Agencies that also sell need to track buyer enquiries and viewings with the same rigour as a sales pipeline, because a property enquiry has a short half-life. That side of the work behaves like CRM and is handled the same way — source, stage, next action, owner.

Compliance and the wider business
Rent invoices and agency commission are fiscalised through the TRA Virtual Fiscal Device where the business is required to issue fiscal receipts, with VAT at the standard 18% applying to commercial lettings and agency fees according to the entity's registration status — see Finance & VFD, the VAT calculator and the EFD/VFD eligibility checker to establish what applies to you. Caretakers, security staff and cleaners on the payroll carry the usual statutory costs — PAYE, NSSF at 10% employee and 10% employer, NHIF, SDL at 3.5% of gross payroll, WCF at 0.5% — which you can model with the full payroll calculator and run in HRM & Payroll.
Agents and caretakers work from phones, on site, often with poor signal. Inspections, meter readings and maintenance photos are captured in the mobile app and sync when the connection returns.
Moving a portfolio across
Start with the current position rather than the history. Load properties and units, then active leases with their true start and end dates, the rent and period covered, the amount paid in advance and the deposit held. Do not import expired tenancies. Set a cut-over date, run the first month in parallel with your existing register, and produce one owner statement from each system to compare — if they agree, you are done, and if they do not, you have found something worth knowing anyway.
