Why a delivery note matters

A delivery note (sometimes called a dispatch note or goods-out note) confirms that goods have been physically dispatched to a customer — and, when signed by the receiver, confirms they were received in good order. It is separate from the invoice: the invoice is the tax document, the delivery note is the logistics document.

What a delivery note must show

  • Dispatcher and receiver names, addresses and contacts.
  • Pre-printed delivery number (sequential).
  • Date of dispatch and expected delivery date.
  • Itemised list with SKU/code, description, quantity (no prices needed).
  • Vehicle registration and driver name (for tax-audit and chain-of-custody).
  • Receiver signature and date.

  • Issue 3 copies: one for the receiver, one for the driver, one for your records.
  • Pre-number the book: sequential numbers prevent fraud and make audit easy.
