Why every Tanzanian SMB should use POs

A purchase order (PO) is a buyer-issued document committing to buy specified goods or services on agreed terms. Once accepted by the supplier, it becomes a contract — and it is the cornerstone of clean accounting, audit-readiness and fraud control.

What a PO must show

  • Sequential PO number.
  • Buyer and supplier full details (TIN, address, contact).
  • Itemised list with quantities, unit prices and totals.
  • Net, VAT 18%, gross.
  • Delivery address and date.
  • Payment terms (e.g. 30 days net, 50% advance, mobile money).
  • Approving authority signature.

3-way match — the audit gold standard

Match every PO against (a) the supplier's delivery note and (b) their invoice before paying. The three documents must agree on quantities, prices and totals. Discrepancies should trigger investigation, not silent payment.

Approval thresholds

Set tiered approvals — for example: under TZS 1M = department head; 1M–10M = managing director; over 10M = board approval. This is a fundamental control that pays for itself the first time it catches a duplicate or inflated PO.
